Summary:
Under the management of the Manager and the Supervisors of Service Line, the Inventory Specialist works with physicians and clinical staff to oversee the specialty inventory needed to perform various diagnostic surgical and interventional procedures. In addition, the Inventory specialist will work closely with materials management to insure adequate par levels of implants, proper storage of supplies and accuracy of supply capture and procedure documentation.
Job Responsibilities:
1) Primary contact with all inventory and medical device vendors. Provides 24/7 accountability to provide support to clinical staff related to all inventory, medical devices and certain information systems.
2) Develop/maintain inventory databases that quantify inventory turnover, use rates per physician and by vendor. Manages multiple databases to reconcile case procedures, supplies and charges. Participates in the evaluation/revisions of automated inventory system.
3) Partner with Value Analysis Clinician to evaluate/present supply requests.
4) Partner with inventory team to standardize and streamline procedure specific inventory. Participates in the development of moveable inventory carts to replace duplication and fixed room inventory.
5) Maintain the integrity of the information in the Inventory module within the department by ensuring accurate par level management ensuring on time delivery of supplies, timely trade out of expired/unused products and accurate ordering, monitoring of products in all sites of inventory.
6) Works collaboratively with clinical staff to evaluate (real time) utilization of supplies. Works with sterile processing/materials/coordinator to streamline and cost reduce procedure packs.
7) Work with manager/director/value analysis team to renegotiate supply contracts. Works with manager to ensure supply inventory consistent with billing ticket.
8) Utilizes clinical background and knowledge, partners with physicians and clinical staff to evaluate products, determine clinical efficacy and best option for given clinical situations. Tracks use rates by vendor and notifies appropriate individuals if not meeting volume based commitment.
9) Provide immediate analysis upon receipt of medical device/product recall notification (FDA, vendors, manufacturers, etc.) and collaborates with Clinical Value Analysis, Inventory Control Analyst and other Baystate colleagues to resolve issues according to System Policy
10) Understanding of costs per case and demonstrates non-salary cost reduction to positively impact margins. Manage year-end physical inventories and periodical cycle counts. Analyze and make decisions on obsolete and/or overstock inventory items.
11) Educates/orientates existing and new staff to inventory system.
Required Work Experience:
1) Supply chain, materials management recommended.
2) A minimum of three years experience in, supply distribution, materials management, procurement, or supply chain logistics.
Preferred Work Experience:
1) Healthcare experience preferred
2) Operating room and procedural background preferred
Skills and Competencies:
1) Strong leadership, teamwork and staff coordination skills are required
2) Experience with Lawson or other materials management information systems preferred
3) High level interpersonal skills with the ability to positively interact with internal customers, employees and external vendors required
4) Ability to work towards defined objectives with a minimum amount of supervision
5) High level problem solving and analytical skills required
6) Good information technology skills, including personal computer, materials management systems, MS Word, Excel and various other applications are required

Note: The compensation range(s) in the table below represent the base salaries for all positions at a given grade across the health system. Typically, a new hire can expect a starting salary somewhere in the lower part of the range. Actual salaries may vary by position and will be determined based on the candidate's relevant experience. No employee will be paid below the minimum of the range. Pay ranges are listed as hourly for non-exempt employees and based on assumed full time commitment for exempt employees.
