Summary: 

Coordinates and supervises a meaningful experience for Baystate Noble Hospitals volunteers who support our mission of quality care for patients and families. 
Coordinates and provides volunteer program development and support. Coordinates volunteer schedules and complete a variety of reports, spreadsheets, and electronic documentation.

Job Responsibilities: 

1) Recruits, trains, and supervises all volunteers, which includes remote, office, and community volunteers.

2) Participates in outreach and relationship development with the community; attends vendor fairs and local community events.

3) Develops, coordinates, and implements appropriate recognition, retention, and motivation programs for volunteers including educational programs, meetings, luncheons, and events.

4) Coordinates and implements onboarding, documentation processes, orientation, training, and competency assessment of all volunteers.

5) Maintains close relationship with interdisciplinary team to facilitate appropriate placement of volunteers based on organizational needs, volunteer preference, and volunteer skill sets.

6) Provides office and clerical tasks as needed. Maintains volunteer information systems, rosters, schedules, tracking of hours, database management, and records per state regulations.

7) Receives and screens volunteer visitors, telephone calls, and emails for volunteer services and responds accordingly. 

8) Receives and screens incoming volunteer correspondence, reports, memos, letters, etc., and provides appropriate responses to all inquiries.

9) Answers inquiries concerning BNH volunteer activities and operations.

10) Schedules and coordinates volunteer meetings, in-services and education, annual volunteer appreciation events, volunteer interviews, and appointments.

11) Develops, coordinates, implements, and tracks regulatory annual requirements for volunteers and annual competencies that mirror guidelines set by Baystate Health in addition to hospice-specific requirements.

12) Maintains personnel files for all volunteers. Maintains annual Employee Health Services requirements as outlined by Baystate Health.

14) Maintains communication and coordinates department policys with Regional Manager.  

Required Work Experience: 

1) Previous Office/Assistant experience

Preferred Work Experience: 

1) Previous experience in a not-for-profit organization; previous volunteer, hospitality and community relations experience

Skills and Competencies: 

1) High proficiency with electronic media, files, e-mail, Microsoft Office
