The Project/Data Coordinator will assist with several aspects of unique projects in the Department. This may include program development, database development and maintenance, grant applications, grant reporting, and process improvement. The Project/Data Coordinator will be instrumental in assisting the clinical teams and leadership to identify sustainable sources of outcomes-based funding to support our operations. This includes the identification of public dollars by demonstrating cost savings to the government over time. The overarching goals of the Department of Surgery at Baystate include achieving better health for the people of the communities we serve, the better value of healthcare services, and the elimination of health disparities.
This position will partner with various clinical leadership to help get new projects up and running and into a phase of operational stability. Tasks will vary from assessing what data will be collected, how it will be collected, and how to best assess the performance of various projects. In addition, this position will be critical in maintaining clear communication with team members and community partners.   


1) Coordinating operational aspects of Department Projects  

2) Assisting and accurately complying with data collection, data entry, and data follow-up. Assisting with patient or participant enrollment process, creating/maintaining dashboards, and generating reports from databases (could be from various platforms, for example, Redcap). 

3) Collaborate and build constructive and effective relationships both internally and externally of BH by assisting with coordinating and community meetings, workgroups, and committees and maintaining and distributing minutes.

4) Professional responsiveness and adaptability to rapid change with the development and piloting of new workflow.

5) Assist in aspects of grant applications including the checklist, developing timelines, ensuring timely completion of tasks, and proofreading and light editing of grants.

6) Adheres to protocol, IRB, HIPAA, and regulatory requirements.

7) Partner with the team to help create programming and education/training that is culturally appropriate

8) Developed and implemented strategies and outreach activities and established appropriate community partnerships to introduce programs and services.

9) Developed strategies for patient outreach, engagement, enrollment, and retention

10) Other duties as assigned. 

Required Experience

1) 2 years of experience working with community-based organizations

2) Social and human services organizations and support of underserved populations. 

Preferred Experience



1) Solid computer skills, including databases and Microsoft Office applications such as word and excel.

2) Knowledge of RedCap software.

3) May possess knowledge of medical terminology.

4) Strong communications skills.  

5) Ability to multi-task.
