Project and Office Coordinator

Baystate Health, a nationally recognized leader in healthcare quality and safety, and home to Baystate Noble, a community hospital is looking for a Project and Office Coordinator to join the Engineering and Facilities team in Westfield, MA.

Job Description:

• Make decisions throughout Baystate Health on room design/layout, renovations and remodeling projects including interior design, oversee color coordination and appropriate applications for walls, floor coverings, window treatments and ceilings, in accordance with Baystate Standards.
• Assess and identify technology needs for interior/space design projects and coordinate installation of equipment with Information Technology and/or vendor. Ensure timely completion of assigned projects within established timeframes and budgets.  Make effective recommendations to Department Management on interior design standards and specifications based on research, product knowledge and experience. 
• Provide extensive administrative support to leadership team and staff for Facilities and Engineering including reports, calendars, minutes, agenda's, interviews and travel arrangements. 
• Manage multiple calendars with proficiency, prioritizing schedules with all levels of management and administrative staff.  Front-line contact for incoming requests for Director, Chief Engineer, Managers, Supervisors and Life Safety Engineer.
• Manage Baystate signage, collaborate with customers and perform needs assessment. Coordinate with vendor the timely production of signage and coordinate installation with the Equipment Repair Shop.  
• Responsible for all Baystate Noble Hospital and satellite area moves.  Requires strong communication/collaboration with the Information Technology team, Security, Engineering and our external move company, ensuring smooth execution of all moves.  
• Prepare monthly capital budget project statements for chargeback allocation to Accounts Payable and Baystate Health cost centers.
